Privacy Policy
This Privacy Policy explains how PitchPoint ("PitchPoint," "we," "us") collects, uses, shares, and protects information when you use the PitchPoint mobile apps for iOS and Android, the PitchPoint website at thepitchpoint.app, and related services (together, the "Service"). PitchPoint is team management software for youth sports teams: team chat, event scheduling, availability tracking, and roster management.
By using the Service, you agree to the practices described here. If you do not agree, do not use the Service.
1. Who this policy applies to
The Service is designed for adults — coaches, team managers, and parents/guardians of youth athletes. We do not knowingly create accounts for children under 13. Players under 13 are represented in the Service as roster entries managed by their parent or guardian; they do not sign in. See "Children's privacy" below.
2. Information we collect
Information you provide
- Account information. Email address, display name, and a password (which we store only as a salted hash — never in clear text).
- Profile and team content. Team name, roster entries (player name, jersey number, position, photo), guardian relationships, coach and manager assignments, event details (date, time, location, notes), and availability responses.
- Messages and attachments. Chat messages, threaded replies, reactions, and any photos or files you upload to chat.
- Invitations. Email addresses of people you invite to join your team.
- Support correspondence. Messages you send to support@thepitchpoint.app and any information you choose to include.
Information collected automatically
- Device and push tokens. When you enable notifications, we receive a device push token from your device's platform push notification service so we can deliver alerts.
- Log data. Server logs of API requests, including IP address, request path, response status, timestamp, and user agent. We use these to operate the Service, detect abuse, and debug issues.
- Crash and performance data. Aggregate, non-identifying diagnostics from the mobile platforms (only when you opt in to share diagnostics with Apple or Google).
Information we do not collect
- We do not use third-party advertising networks. We do not track you across other apps or websites.
- We do not collect precise location data.
- We do not access your contacts, microphone, or calendar from your device.
- Camera and photo library access is used only when you choose to attach a photo to a chat message or set a player photo. Photos are uploaded only when you tap send.
3. How we use information
- To create and operate your account and your team(s).
- To deliver chat messages, event notifications, and availability updates.
- To send transactional email — verification links, password resets, and team invitations.
- To enforce role-based access so each member sees only what they are permitted to see.
- To investigate abuse, debug errors, and keep the Service secure.
- To comply with legal obligations.
We do not sell personal information, and we do not use your information to train advertising or profiling models.
4. How we share information
With your team
Information you contribute to a team — your name, roster entries, events, and chat messages — is visible to other members of that team consistent with their role (manager, coach, guardian, or player). You control what you post.
With service providers (sub-processors)
We use a small set of third-party service providers for application hosting and file storage, transactional email delivery (verification, password reset, invitations), and push notification routing. They process information on our behalf under contractual privacy and security commitments.
For legal reasons
We may disclose information when we believe in good faith that disclosure is required by law, legal process, or to protect the rights, safety, or property of PitchPoint, our users, or the public.
Business transfers
If PitchPoint is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you and provide reasonable notice before any new owner uses your information differently.
5. Data retention
- Account, team, roster, event, and chat data are retained for as long as your account or team is active.
- When you delete a chat message, it is removed from the Service. When a team manager removes a player or archives a team, the related data is removed or made inaccessible to team members.
- When you delete your account, we delete or de-identify your personal information within 30 days, except where retention is required for legal, accounting, or security purposes (for example, audit logs of authentication events).
- Server logs are retained for up to 90 days for operational and security purposes.
6. Children's privacy
The Service is not directed to children under 13, and we do not knowingly allow anyone under 13 to create an account. Children appear in the Service only as roster entries managed by a parent or guardian — they do not sign in, do not send messages, and do not receive notifications. Information about a child (name, jersey number, photo, availability) is provided and controlled by their parent or guardian.
If you are a parent or guardian and believe a child under 13 has created an account, contact us at support@thepitchpoint.app and we will promptly delete the account.
7. Your rights and choices
- Access and correction. You can view and update most account and team information directly in the app (Settings → Account, Roster, Team).
- Deletion. Request account deletion by emailing support@thepitchpoint.app from the address on your account. We will confirm and complete the request within 30 days.
- Notifications. Disable push notifications in your device settings at any time. You can unsubscribe from non-transactional email using the link in those emails.
- Camera and photo library. You can revoke camera or photo library access in your device settings; chat will continue to work without them.
- Data export. Request a copy of your personal information by emailing support@thepitchpoint.app.
If you are in the European Economic Area, the United Kingdom, or a U.S. state with applicable privacy laws (including California, Colorado, Connecticut, Texas, Utah, and Virginia), you may have additional rights — including the right to access, correct, delete, port, or object to processing of your personal information, and the right to appeal a denial of those rights. Contact us at support@thepitchpoint.app to exercise any of these rights. We do not sell personal information or share it for cross-context behavioral advertising.
8. Security
We protect information in transit with TLS (HTTPS), store passwords as salted hashes, restrict database access to authorized services, and follow the principle of least privilege for internal access. No system is perfectly secure; if you suspect your account has been compromised, change your password and contact support@thepitchpoint.app.
9. International data transfers
PitchPoint is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States and any other country where our service providers operate. By using the Service you consent to that transfer.
10. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will notify you in the app or by email at least 14 days before it takes effect. The "Effective" date at the top of this page indicates when the current version became active.
